Conference/Exhibition Events Administrator

Conference/Exhibition Events Administrator for a very well known Exhibition/Conference orgasniser based in South West London, these guys organise sector leading events that enable government officials, industry leaders and technical experts to share ideas, develop partnerships, conduct business, network and access export and growth markets.

Conference/Exhibition Events Administrator, the client is looking for a highly organised and motivated administrative assistant with involvement in both the vetting and sales coordination as well as general office admin. It is crucial that this candidate has an ability for multi-tasking, is calm under pressure, has a friendly and professional phone manner and is happy to be part of a team.

General Administration Role:

  • Management of travel bookings across portfolio
  • Raising client contracts and invoices as part of a financial management system
  • Liaising with accounts department.
  • Assisting on marketing campaigns and operational issues as required
  • Ad-hoc assistance for Exhibition Directors and Managing Director
  • Budget management and reporting
  • Large mailings & post collection
  • Stationery orders
  • Franking machine
  • Courier deliveries
  • Look after all enquiry inboxes
  • Company credit card receipt reconciliation

Conference/Event Support Role:

  • Management of in-house web administration system
  • Updating of exhibitors, delegates, committee members, speakers and web information
  • Invoicing and purchase order set up and management
  • Working on-site to assist the conference, sales and organising teams
  • Co-ordination of steering/committee meetings, workshops and exhibitor open days
  • Attending planning meetings and producing minutes
  • Organising responsibility for functions, seminars and conferences
  • Co-ordination and management of rebooking process at their events

Registration & Delegation Support:

  • Participate in the management of registration of stand personnel at all competitor/clients events
  • Helping with registration and queries management onsite
  • Develop registration system for their top 20 key accounts across all events offering one point of contact and premier level of service
  • Support the sales, marketing and delegation teams with all bespoke registration requests

Exhibitor Helpdesk Support:

  • Answer exhibitor enquiries regarding contents of exhibitor technical and marketing manuals, invoicing queries and registration across all our events
  • Answer phone enquiries for all shows

As you can see this is a very admin focused/support role, it would suit a 2nd jobber with at least 18 months Event/Conference/Exhibition administration experience who wants to work for a large established International organiser, I do not want people with Operations experience as menbtioned this role is more support/admin based
