Conference/Exhibition Event Manager reuired for a very well known Conference/Exhibition organiser based in South West London, these guys do international events within the Energy sector, they develop knowledge by creating commercial opportunities and strategic solutions for the industry by offering professional training, conferences and exhibitions.

They produce quality-led conference and trade exhibitions working directly with governments and international trade organisations.

£27,000 to £28,000+2K+Bens


To ensure that the operational aspects of the event are successful and cost-effective. This will include the Conference, Exhibition, pre and post event dinners, drinks receptions, site visits, golf days etc.
To manage and multi-task multiple events
To develop commercial relationships with suppliers
To work within the timelines and budgets specified
To update budgets, handle invoices, costs & payments effectively and efficiently
To develop and nurture relationships with speakers, exhibitors, sponsors and partners
To ensure that general office administration duties are carried out as required
To support the team and work to facilitate the growth, expansion and advancement of the company

Responsibilities include:

* Speaker/delegation liaison
* Liaise with sponsors and exhibitors to ensure contracts and expectations are exceeded
* Liaise with official contractors to organise the logistics for the build of the exhibition
* Prepare the Online Exhibitor Manual
* Upload and maintain conference agenda on the website
* Venue searching and organisation
* Manage the booking of flights and accommodation for staff/speakers
* Coordinate visa invitation letters for participants
* Appoint suppliers (AV, furniture, printers, registration, onsite staff, catering, signage, flowers etc)
* Produce printed 'on-the-day' documentation to support the event
* Co-ordinate with Client Service team
* Actively participate in the project team meetings
* Liaise with partners and supporting organisations


* Oversee registration for delegates, speakers, sponsors, VIPs, press, exhibitors and visitors
* Ensure smooth event build and running of the conference and exhibition onsite
* Liaise with venue re room set-up, timings
* Co-ordinate sponsored functions
* Manage the conference room and speakers to ensure the programme remains on schedule and speakers are well looked after
* Work with the Business Development Manager and/or Exhibition Sales Manager to ensure the smooth running of the event
* Manage onsite staff during the event
* Collect and manage cashflow onsite
* Make preparations for the opening ceremony


* Ensure all supplier invoices are submitted within deadline
* Update budgets/reconciling accounts
* Produce a post event report
* Edit and update presentations on to the website
* Obtain testimonials/quotes from attendees for future events

To be considered for this role you must have at least 2 to 3 years proven Conference or Exhibitions Operations/logistics experience, only applicants with relevant sector and skills will be put forward for this role, great company, good career progression.
